Our Cancellation & Refund Policy

Aetheria is a marketplace. Every tour and activity is provided and run by an independent operator, and each operator sets its own cancellation and refund policy. The terms that apply to your booking are the ones shown on that tour’s page at the time you book. Please read them carefully before booking, because they vary from one experience to another.

Aetheria is neutral. We do not set a single cancellation rule across all tours, and we do not add any cancellation fee of our own beyond the processing fee described below.

Every tour page shows its cancellation terms in the tour details. Terms differ by operator and experience. For example, some tours allow a full refund if you cancel a set number of hours before the start, some require longer notice, and some are non-refundable once booked. Full refunds cannot be guaranteed, and depending on the operator’s policy and how close to the start you cancel, a charge up to the full price may apply.

Where you cancel voluntarily, a processing fee of 5% of the booking value is retained to cover non-refundable payment costs. This fee does not apply if the operator or Aetheria cancels your experience, or where an experience cannot go ahead due to force majeure, in which case any refund due is made in full.

Your request time is recorded from when we receive it. We pass your request to the operator, who confirms the cancellation and any refund due under that tour’s terms.

Once the operator confirms your cancellation and any refund that applies, Aetheria processes that refund to your original payment method through our secure payment providers. The refund amount is set by the operator’s cancellation terms, less the 5% processing fee described above where you have cancelled voluntarily. Aetheria does not add any other cancellation fee.

Processing usually takes 7 to 10 business days, and your bank may take a few days more to show it.

Any payment collected through Aetheria for a booking is collected on behalf of, and passed to, the relevant operator as payment for that experience. Refunds are subject to the operator’s cancellation terms and are handled as described above.

If an operator cancels your experience (for example due to weather, safety, or minimum numbers not being met), you are entitled to a refund of the amount paid for that experience, or you may rebook where the operator offers an alternative. No processing fee is deducted where the operator cancels. We will pass on the operator’s options and process any refund due in full.

If you do not arrive for your booked experience and have not cancelled beforehand, the booking is treated as used and no refund is due, unless the operator’s own terms say otherwise.

To change a date or the number of guests, contact us as early as possible. Changes are subject to the operator’s availability and terms, and pricing may change with group size.

For events beyond reasonable control (severe weather, natural disasters, government restrictions), the operator’s force majeure terms apply. Where an experience cannot go ahead for these reasons, the operator will offer a refund or a reschedule in line with its terms. No processing fee is deducted in these cases.

We recommend buying travel insurance with cancellation cover when you book. Depending on why you need to cancel, it may help you recover costs that are non-refundable under an operator’s terms.

Aetheria may update this policy from time to time. The version in effect when you booked applies to your reservation.

By booking through Aetheria, you acknowledge that cancellation terms are set by the operator, shown on each tour page, and that Aetheria processes any refund as the operator’s agent.
